Executive Assistant

We are seeking a highly organized and proactive Executive Assistant (EA) to provide comprehensive support to four senior executives within a dynamic financial services firm. This is a fully onsite position based in Toronto, requiring a confident professional with strong interpersonal skills, discretion, and the ability to manage competing priorities in a fast-paced, deadline-driven environment.Their office is based out of their Don Mills location and is fully onsite.Key ResponsibilitiesExecutive Support: Provide day-to-day administrative support to four executives, including complex calendar management, meeting coordination, travel arrangements (domestic & international), and expense reporting.Meeting Coordination: Schedule and organize internal and external meetings, prepare agendas, take minutes, and ensure timely follow-up on action items.Document Management: Draft, proofread, and format presentations, reports, and correspondence with a high level of accuracy and professionalism.Communication: Act as a liaison between executives and internal/external stakeholders, maintaining a high level of professionalism and confidentiality.Project Assistance: Support ad hoc projects, research, and data gathering for executive initiatives.Office Presence: Maintain an efficient and organized onsite office environment, including coordination of supplies, facilities, and technology needs.QualificationsMinimum 5+ years of experience as an Executive Assistant, preferably supporting multiple executives simultaneously.Experience in the financial services industry or other professional services environments is highly preferred.Exceptional organizational, time management, and multi-tasking abilities.Strong proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, Zoom).Excellent written and verbal communication skills.Demonstrated discretion in handling confidential information.Professional demeanor with strong interpersonal skills.
