This position is responsible for coordinating and overseeing a range of facility-related activities, including maintenance, space planning, vendor management, and project coordination. The Facilities Coordinator ensures that workspaces are well-maintained, optimally utilized, and provide a productive environment for employees and clients.<span class=\"br\"><\/span><b>Key Responsibilities<\/b><span class=\"br\"><\/span>Space Planning and Allocation <\/p>\n<ul>\n<li>Collaborate with internal stakeholders to understand space requirements<\/li>\n<li>Coordinate space allocation, moves, and relocations<\/li>\n<li>Ensure offices and workstations are properly equipped and maintained<\/li>\n<li>Assist with furniture procurement and installation<\/li>\n<li>Maintain accurate floor plans and space utilization records<\/li>\n<\/ul>\n<p> Facilities Maintenance <\/p>\n<ul>\n<li>Coordinate with vendors and suppliers for routine maintenance and repairs<\/li>\n<li>Perform regular inspections of facilities and report any issues or deficiencies<\/li>\n<li>Respond to facility-related service requests in a timely manner<\/li>\n<li>Monitor and schedule preventative maintenance activities<\/li>\n<li>Develop and implement facilities maintenance schedules and procedures<\/li>\n<\/ul>\n<p> Vendor Management <\/p>\n<ul>\n<li>Source and evaluate vendors and service providers<\/li>\n<li>Negotiate contracts and service level agreements<\/li>\n<li>Manage vendor relationships, ensuring quality and timeliness of services<\/li>\n<li>Monitor vendor performance and address any issues or concerns<\/li>\n<li>Process invoices and maintain financial records related to facility services<\/li>\n<\/ul>\n<p> Project Coordination <\/p>\n<ul>\n<li>Assist with the planning and execution of facility-related projects<\/li>\n<li>Coordinate with internal teams and external stakeholders to ensure project timelines and objectives are met<\/li>\n<li>Track project progress and provide regular updates to management<\/li>\n<li>Manage project budgets and expenses<\/li>\n<li>Ensure compliance with relevant regulations and standards<\/li>\n<\/ul>\n<p> Health and Safety <\/p>\n<ul>\n<li>Ensure compliance with health and safety regulations in the workplace<\/li>\n<li>Conduct regular inspections to identify and address safety hazards<\/li>\n<li>Develop and implement emergency response plans and procedures<\/li>\n<li>Coordinate training programs for employees on safety and emergency procedures<\/li>\n<li>Maintain accurate records of safety inspections and incidents<\/li>\n<\/ul>\n<p><b>Qualifications<\/b><\/p>\n<ul>\n<li>Bachelor&#8217;s degree in Facilities Management, Business Administration, or related field (equivalent experience will be considered)<\/li>\n<li>Proven experience in facilities coordination or related role<\/li>\n<li>Sound knowledge of facility management principles and practices<\/li>\n<li>Excellent organizational and multitasking abilities<\/li>\n<li>Strong interpersonal and communication skills<\/li>\n<li>Proficient in using facility management software and tools<\/li>\n<li>Ability to work independently and as part of a team<\/li>\n<li>Strong problem-solving and decision-making skills<\/li>\n<li>Familiarity with health and safety regulations and best practices<\/li>\n<\/ul>\n<p><b>What we can do for you:<\/b><span class=\"br\"><\/span>At JLL, we make sure that you become the best version of yourself by helping you realise your full potential in an entrepreneurial and inclusive work environment.
